How to Reply to a Bad Google Maps Review: Ready Replies for Every Situation

02A 5-step reply framework
- 1Thank the customer by name: it shows you actually read the review.
- 2Apologise for the experience: "We're sorry your experience was like this", with no arguing or accusations.
- 3Explain briefly: one line on the cause or what has changed, with no order details or customer number.
- 4Take the fix private: give the business WhatsApp number, or say "message us on our WhatsApp".
- 5Follow up and update: once it's resolved, add an update to your reply if it helps readers.
Never publish the employee's name, order details or customer data in a public reply, even if the customer is in the wrong. It hurts you in front of readers and may break data protection laws.

04Fake reviews or reviews that break the rules
If you can't find the customer in your records, or the review contains abuse, promotes a competitor, or has nothing to do with an actual experience, it may break Google's policies.

A public reply puts out the fire in front of readers, but the real fix happens in private. If you have the customer's number from the order, start a service conversation to resolve the problem, and never ask them to edit the review as a condition for any compensation.

Once the problem is fixed, many customers update their review on their own. If they don't, updating your public reply with "We contacted the customer and resolved the order" is enough for readers.
07Ask every customer for a review, the clean way
The best cure for a bad review is plenty of genuine ones. Ask all customers after the service, not just happy ones, offer nothing in return, and don't suggest what they should write.
